DVOTD · The Conference Companion
Privacy Policy
We do not sell or share your SMS opt-in data or personal information with third parties for marketing purposes.
This Privacy Policy explains what DVOTD Inc. ("DVOTD", "we", "us") collects when you use this website (getdvotd.com and companion.getdvotd.com), when you take part in a Conference Companion text-message program at an event, and how that information is used.
Who we are
DVOTD Inc. builds and operates the Conference Companion, a text-message service for attendees of participating events. DVOTD Inc. is the sender of every message in the program. An event chooses to make the Companion available to its attendees; the messages come from DVOTD Inc., not from the event.
What we collect
On this website
- Walkthrough requests. If you submit the booking form we collect your name, organization, email address, the name, dates, and expected attendance of your event, and anything you write in the note field.
- Technical information. Our hosting provider records standard server logs (IP address, browser type, pages requested). Fonts load from Google Fonts, which may record your IP address under Google's own privacy policy. We do not run advertising trackers or analytics cookies on this site.
In a Conference Companion text-message program
- Your mobile number and the date, time, and method of your opt-in (for example, the keyword you texted or the form you submitted).
- Your name and your answers to the questions the Companion asks, such as what you came to the event to achieve, which sessions interest you, and your feedback.
- Message records: the messages sent to you and received from you, delivery status, and your STOP or HELP requests.
How we use it
- To respond to your walkthrough request and set up a conversation about your event.
- To run the text-message program you opted in to: confirm your number, answer your questions, send session recommendations, reminders, and event updates, and honour your opt-out.
- To give the event you joined the Companion for an aggregate and individual picture of what its attendees came for, so it can serve them better during and after the event.
- To keep records of consent and opt-outs as carrier and messaging regulations require.
- To improve the Conference Companion. Where we use attendee responses for this, we remove names and phone numbers first.
Who we share it with
We do not sell or share your SMS opt-in data or personal information with third parties for marketing purposes. We share information only as follows:
- The event you joined for. Responses you give in a program are visible to the team running that event, because the program exists to serve that event. The event's use of that information is governed by its own privacy policy. The event does not send you messages through the program; DVOTD Inc. does.
- Service providers that process data on our instructions: the messaging platform and mobile carriers that deliver texts, cloud hosting and database providers, email delivery, and AI providers that help draft replies. They may use your information only to provide their service to us.
- Legal requirements. When required by law, regulation, legal process, or to protect the rights, safety, or property of DVOTD, the events we serve, or attendees.
Mobile opt-in information and consent records are never shared with or sold to any third party for marketing purposes.
Text messaging and your choices
- You can stop at any time by replying STOP to any message. You will receive one final confirmation and no further messages from that program.
- Reply HELP for help, or email jasmine@getdvotd.com.
- Message and data rates may apply. Message frequency varies, up to 8 msgs/day during the event. Consent is not a condition of attendance. See the SMS Program page and our Terms & Conditions.
How long we keep it
Walkthrough requests are kept while we are in conversation with you and for up to two years afterwards. Program data is kept for the duration of the event program and for a period afterwards agreed with the event, after which it is deleted or anonymised. Consent and opt-out records are kept as long as messaging regulations require.
Your rights
You can ask us what information we hold about you, ask us to correct it, or ask us to delete it, subject to the records we must keep by law. Email jasmine@getdvotd.com and we will respond within 30 days.
Security
Information is stored with reputable cloud providers using encryption in transit and at rest, and access is limited to the people who need it to run the program. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
Children
Our website and programs are intended for adults. We do not knowingly collect information from anyone under 18. If you believe we have, contact us and we will delete it.
Changes
We may update this policy. The effective date at the top shows the current version. Material changes to how we handle program data will be communicated through the program.
